1. The contract and who it is with
Your contract is with:
- Geob Ventures, a safari tour operator established in 2013 and based in Nairobi, Kenya.
- Email: safaris@geob.co.ke · Phone and WhatsApp: +254 728 136 167
- How a booking is made. We send you a written quote with a link to these terms. Please check the names, dates and details and tell us of any mistake before you accept. When you accept the quote in writing (confirming that you have read these terms) and pay the deposit, and we confirm the booking by email, a binding contract exists between us on these terms. You can print or save this page with the button at the top. The person who books (the "lead traveller") must be 18 or over, accepts these terms for everyone in the booking, and is responsible for payments and for passing our messages to the group.
- What is in the contract. Your booking confirmation, the final itinerary we send you, these terms and our Cancellation & Refund Policy. If they conflict, the booking confirmation applies first, then these terms.
- Our role. We organise and operate your safari, using our own team and carefully chosen local partners (lodges, camps, airlines, transport and guiding partners, and ground handlers in Tanzania, Uganda and Rwanda). Where we arrange a service that someone else provides under their own conditions, such as an international or scheduled domestic flight or an insurance policy, we act as booking agent and that provider's conditions also apply. We will tell you which services these are.
2. Quotes and what the price includes
- Quotes are valid for 14 days, or until the date shown, and depend on availability when you book. Prices on our website are "from" prices; your quote is the price for your dates and group.
- Currency. We quote in US dollars (USD). If you pay in Kenya shillings or another currency, we use the exchange rate on the day of payment. Bank, transfer and currency charges on your side are yours; the amount we receive must match the invoice.
- What is included is listed in your quote. A typical safari includes accommodation, the meals stated, transport in a safari vehicle with a professional driver-guide, park and conservancy entry fees, permits named in the itinerary, and the activities listed.
- Usually not included, unless your quote says otherwise: international flights, visas or travel authorisations, travel insurance, vaccinations, tips, drinks other than those stated, optional activities (such as balloon flights or cultural visits), laundry, and personal expenses.
- Room and group basis. Prices are per person sharing. Single travellers pay a single supplement. Prices for children and for groups depend on the lodges and vehicle arrangement in your quote. If the number of travellers falls after booking, the price per person may rise.
3. Deposits and payment
- Deposit: 30% of the total price is due to confirm your booking. We need full payment in advance for items suppliers make us pay immediately, such as gorilla and chimpanzee permits and some flights; we will show these on your invoice.
- Balance: the rest is due no later than 60 days before your arrival. If you book within 60 days of arrival, the full price is due when you book.
- Late payment. We will remind you before the balance is due. If it is still unpaid after the due date, we may cancel the booking and apply the charges in our Cancellation Policy, because lodges and permit authorities will release your space.
- How to pay: by bank transfer to our company account, or by card or M-Pesa through a secure IntaSend payment link. Card and mobile-money payments may carry a processing fee, which is shown before you pay. Read our Payment Security page: we never ask you to pay into a personal account, and we never change bank details by email alone.
- Receipts. We confirm every payment in writing.
4. Price changes after booking
Once your deposit is paid we will not raise the price, except to pass on, at cost and with at least 30 days' written notice, an increase we cannot control in:
- national park, reserve, conservancy or permit fees, or government taxes and levies (such as VAT or tourism levies);
- fuel or other surcharges imposed by airlines on flights in your itinerary.
Once your balance is paid, your price is fixed and we absorb any later increase. We will show you the official source for any increase we do pass on. If the total rises by more than 10% of your trip price, you may cancel within 14 days of our notice and receive a full refund of what you have paid, except for items already bought for you that the supplier will not refund. If a fee falls, we pass the saving on.
5. Passports, visas and entry rules
You are responsible for having the right documents and meeting the entry rules of every country on your itinerary, including any countries you transit. We will send you the current guidance for your nationality and route, but rules change and you should check the official government sources before you travel.
- Passports must be valid for at least six months after you leave the last country you visit, with at least two blank pages (Kenya asks for two; other countries need at least one).
- Names must match your passport exactly. Permits and flight tickets are issued in that name and often cannot be changed; corrections after booking may cost money or be impossible.
- Visas and travel authorisations: each country sets its own rules, and they change often. As of October 2026:
- Kenya: most visitors need an Electronic Travel Authorisation (eTA), applied for online at etakenya.go.ke before travel; apply at least two weeks ahead. Most African nationals are exempt.
- The East Africa Tourist Visa covers Kenya, Uganda and Rwanda together for 90 days. It does not cover Tanzania.
- Tanzania, Uganda and Rwanda each issue their own visas, mostly online before travel; some nationalities can get a visa on arrival or are exempt.
- Government visitor insurance: from October 2026 Kenya and mainland Tanzania (and Zanzibar, under its own scheme) require most foreign visitors to buy a government inbound travel insurance policy online before arrival, at around USD 44. It is separate from, and does not replace, the travel insurance required by section 7. We will confirm the current rules before you travel.
- Children travelling with only one parent, or with other adults, may need extra documents, such as a full birth certificate and a consent letter from the absent parent.
- If you are refused boarding or entry because of your documents, any resulting costs are your responsibility, and our Cancellation Policy applies to the parts of the trip you miss.
6. Health, fitness and vaccinations
- See a travel health clinic at least six weeks before departure for advice on vaccinations and malaria protection.
- Yellow fever: Kenya and Rwanda ask for a yellow fever vaccination certificate if you arrive from a country with yellow fever risk. Tanzania counts Kenya as such a country, so if your safari crosses from Kenya into Tanzania, you will normally need a yellow fever certificate (also after a transit of 12 hours or more in Kenya). Get vaccinated at least 10 days before you travel and carry the certificate with your passport.
- Fitness: safaris involve long drives on rough roads, early starts and heat. Gorilla and chimpanzee trekking can mean several hours of steep, muddy walking at altitude, and climbing Kilimanjaro is strenuous. Tell us about any condition that may affect you, so we can suggest suitable activities.
- Gorillas and chimpanzees can catch human illnesses. Park authorities may refuse to let you trek if you have a cold, flu or other infectious illness on the day; this is not a reason for a refund.
- Your guide may decide you should not take part in an activity for your safety or the safety of others.
7. Travel insurance
Comprehensive travel insurance is a condition of travelling with us. It must cover, for every traveller:
- medical treatment and emergency evacuation, including air evacuation from remote areas (we recommend also joining an air-evacuation scheme such as AMREF Flying Doctors for East Africa);
- cancellation and cutting short your trip, for an amount at least equal to your trip price;
- the activities you have booked, such as gorilla trekking, walking safaris, balloon flights or mountain climbing; and
- personal belongings and repatriation.
Please buy insurance when you pay your deposit, so cancellation cover starts straight away, and send us your policy details before travel. If you travel without suitable insurance, you are responsible for any costs that it would have covered.
8. Special requirements, children and age limits
- Special requirements such as diets, allergies, mobility needs or room requests: tell us when you book. We pass every request to the suppliers and confirm in writing what they can provide. We can only guarantee what we have confirmed in writing. Many camps are remote, so specialist food or equipment may need advance notice.
- Accessibility: many safaris can be adapted for limited mobility, but some lodges, airstrips and activities are not suitable for wheelchairs. We will be honest about what each place can offer before you book.
- Children under 18 must travel with a parent or responsible adult who is responsible for them throughout the trip.
- Age limits are set by authorities and suppliers, not by us. Gorilla trekking in Uganda and Rwanda requires a minimum age of 15 on the day of the trek. Chimpanzee tracking, walking safaris, balloon flights, canoeing and some lodges also have minimum ages, which we confirm for your itinerary.
9. Changes you ask for
- After your booking is confirmed, we will try to make any change you ask for, such as dates, lodges or route, subject to availability. Each change carries an administration fee of USD 50, plus any charge or price difference from suppliers.
- Changing your travel dates close to departure, or making large changes, may be treated as a cancellation and new booking. We will tell you before you decide.
- Permits and flight tickets often cannot be changed or transferred; where an authority or airline allows a change, its fees apply.
- You may transfer your place to someone else who meets all the conditions of the trip, if you tell us in good time; you and they are jointly responsible for any costs this causes.
- Services you don't use once your safari has started (for example a missed game drive, a meal or a night you choose not to stay) are not refundable.
10. Cancelling your safari
You can cancel at any time by email to safaris@geob.co.ke. The date we receive it decides the charge:
| When we receive your written cancellation | Cancellation charge |
|---|---|
| 61 days or more before arrival | Loss of your deposit (30% of the total price) |
| 31 to 60 days before arrival | 50% of the total price |
| 15 to 30 days before arrival | 75% of the total price |
| 14 days or less before arrival, or no-show | 100% of the total price |
If the cost of items we cannot get back from suppliers is higher than the charge in the table, that cost applies instead. This covers gorilla and chimpanzee permits, flights, and park, conservancy or lodge payments the supplier will not return; see "Non-refundable items".
Full details, including non-refundable items and how refunds are paid, are in our Cancellation & Refund Policy. Cancellation charges may be claimable from your travel insurance.
11. Changes and cancellations by us
- Small changes can happen on any safari: the order of places, a lodge or camp of similar standard, flight times, the vehicle or the guide. We will tell you as soon as we can, and these do not give a right to compensation.
- Significant changes before departure (for example missing out a main destination or a lower standard of accommodation for a large part of the trip): we will tell you promptly and you can choose to accept the change (with a refund of any price difference), take an alternative safari of similar or better standard if available, or cancel for a full refund of everything you have paid us.
- If we cancel your safari for any reason other than events beyond anyone's control (section 12) or your failure to pay, you can choose a full refund of everything you have paid us or a replacement safari.
- Group departures may need a minimum number of travellers. If the minimum is not reached, we will tell you at least 30 days before departure and offer another date or a full refund.
12. Events beyond anyone's control
We are not responsible for changes, delays or cancellations caused by events that neither we nor our suppliers could foresee or avoid by taking reasonable care. Examples include natural disasters, extreme weather and flooding, epidemics and public health measures, war, civil unrest or terrorism, government action including border closures and permit suspensions, strikes, airport closures, and the closure of parks or roads. If such an event affects your safari, we will do everything reasonable to help: rerouting where safe, or rebooking for later dates. If the safari cannot go ahead, we will refund what you have paid, less the costs we have paid out and cannot recover from suppliers, and we will give you a breakdown. Your travel insurance may cover the rest.
13. During your safari
- Your guide is in charge of safety in parks and reserves. Please follow their instructions, stay in the vehicle unless told otherwise, keep your distance from wildlife and never feed animals.
- Wildlife is wild. We plan for the best sightings, including the Great Migration river crossings, but animal movements, weather and seasons cannot be guaranteed, and missing a sighting is not grounds for a refund.
- Behaviour: we may end the trip of anyone whose behaviour puts people, wildlife or property at risk, or seriously disrupts others, without a refund. Damage you cause to vehicles or accommodation is your responsibility.
- Local laws and customs: Kenya bans single-use plastic carrier bags, and single-use plastics are not allowed in protected areas. Drones need prior government authorisation and are not allowed in national parks. Always ask before photographing people, and respect community rules on cultural visits.
- Shared vehicles: on shared departures, seats are rotated fairly. Private safaris have the vehicle to themselves.
- Remote places: camps may have limited electricity, water and internet, and roads and airstrips can be affected by weather.
- Responsible travel: buying or exporting products made from wildlife (such as ivory, rhino horn, skins, shells or coral) is illegal. We do not include visits to orphanages, and we ask you not to give money or sweets to children along the road. If you see anything that suggests a child is being exploited, tell your guide or us, and we will report it to the authorities.
- Tipping is customary but voluntary; we send guidance with your documents.
14. Flights and luggage
- Light aircraft within East Africa usually allow 15 kg per person including hand luggage and camera bags, in soft-sided bags (some coastal and Zanzibar routes allow 20 kg). Travellers over about 100 kg may need to buy an extra seat for safety and balance. Ask us to confirm the limits for your flights. Extra luggage can often be stored or sent on for a fee.
- Some scheduled light-aircraft routes only operate with a minimum number of passengers (often two to four). If too few people are booked, the airline may change the route, add a stop or charge for the empty seats; we will tell you and agree the best option with you before you travel.
- Flight schedules are set by airlines and can change at short notice. If an airline changes or cancels a flight we have booked as part of your safari, we will arrange the best available alternative.
- If you book your own international flights, please send us your times. We are not responsible for missed connections or costs caused by flights we did not book; allow a sensible margin between flights and the start of your safari.
15. Our responsibility to you
- We will perform our contract with reasonable skill and care, select our suppliers carefully, and check that they hold the licences and insurance their work requires.
- If any part of your safari is not provided as agreed because of our fault or the fault of a supplier we chose, we will pay you appropriate compensation, taking into account any refund or alternative already provided.
- We are not responsible where a problem is caused by you or someone in your group, by a third party not connected with your safari, by events beyond anyone's control (section 12), or by a service you arranged yourself.
- Our total liability for any claim, other than for death or personal injury, is limited to the total price of your safari. We are not liable for indirect losses, such as loss of earnings or holiday time, that could not reasonably have been foreseen.
- For flights, our liability is limited in the same way as the airline's under international conventions such as the Montreal Convention.
- Nothing in these terms limits or excludes liability that the law does not allow us to limit, including liability for death or personal injury caused by our negligence, or your rights under Kenya's Consumer Protection Act, 2012.
- Please look after your passports, money and valuables; we cannot be responsible for their loss or theft unless caused by our negligence. Use safes where provided.
16. Complaints and disputes
- Tell us straight away during your trip. Speak to your guide or contact us on WhatsApp +254 728 136 167 at any time. Most problems can be fixed on the spot, and we cannot put right what we don't know about.
- After your trip, send any complaint in writing to safaris@geob.co.ke within 28 days of your return. We will acknowledge it within 5 working days and give you a full answer within 28 days.
- If we can't agree, either of us may propose mediation, for example through the Nairobi Centre for International Arbitration. Mediation is voluntary and does not stop you going to court: claims of up to KES 1,000,000 can be brought in Kenya's Small Claims Court, and larger claims in the other courts of Kenya.
17. Photos and reviews
We would love your photos and reviews. We will only publish photos in which you can be identified, or your name with a review, with your permission. On group departures our team may take photos; tell us if you would rather not appear in them.
18. Your personal information
We need some personal information, including passport details, to arrange your safari, and we share it only with the suppliers and authorities who need it. Our Privacy Policy explains how we use and protect it and your rights.
19. Governing law and general terms
- These terms and your contract are governed by the laws of Kenya, and the courts of Kenya have jurisdiction. If you live outside Kenya, this does not take away any rights you have as a consumer under the law where you live.
- If any part of these terms is found invalid, the rest still applies. If we don't enforce a term straight away, we can still enforce it later.
- We may update these terms for future bookings. The version on our website when you pay your deposit applies to your booking.
